Job Summary:
The Front Desk Administrative Assistant facilitates the efficient operation of the Columbia Clinic by performing a variety of clerical and administrative tasks.
Supervisory Responsibilities: None
Duties/Responsibilities:
Daily
- Check patients in for clinics
- Scan appropriate patient paperwork and insurance/Medicaid cards into EPIC
- Verify patient address/phone #/Insurance information is correct, update if necessary
- Check out patients when they leave and enter recalls in EPIC
- Scan patient pedigrees and consent forms into EPIC following visit
- Write school notes for all clinic patients when leaving office, and work notes for parents (if requested)
- Work with centralized scheduling personnel to ensure patients are scheduled in a timely manner
- Call patients to remind them of upcoming appointments
- Call Interpreter services for patient reminders (non-English speaking patients)
- Schedule interpreter services for non-English speaking patient appointments
- Sort faxes by outside records, medical requests, etc. and distribute appropriately
- Sign for any packages delivered and receive daily mail and inter-office courier items, and distribute accordingly
- Arrange for FedEx package pickup
- Handle returned mail
- Assist with requests made outside clinic days (Faxing copies of labs, consent forms, etc.)
- Send no-show letters to referring providers if patients do not keep their appointment
- Assist callers to the Columbia office in figuring out the best way to handle the caller’s requests and if they need to be transferred elsewhere
- Mail out CD’s, packets, letters as requested for staff
- Empty your desk shred bin at the end of each day into the larger receptacle
- Add paper to the copiers
