Physical Requirements:
Ability to lift and move packages weighing up to 25 lbs.
Frequent standing, walking, and bending.
Ability to operate printing and mail equipment safely.
The Mailing and Print Clerk is responsible for the efficient and accurate handling of
incoming and outgoing mail, print-related tasks, and administrative support within the
organization. This role involves operating mail and print equipment, preparing documents
for distribution, ensuring print materials are produced to specifications, and managing
inventory of mailroom and print supplies.
Key Responsibilities:
Mailing Operations
• Sort, organize, and distribute incoming and outgoing mail.
• Ensure timely preparation and shipment of outgoing mail, including packaging,
labeling, and arranging for delivery services (e.g., USPS, FedEx, UPS).
• Handle sensitive or confidential materials and maintain privacy standards.
• Maintain records of mail transactions, ensuring accurate tracking and delivery.
Printing Support
• Operate printing equipment, including copiers, printers, and other related
machines.
• Print and prepare documents, brochures, marketing materials, and reports as
requested by departments.
• Monitor print jobs for quality, ensuring they meet specifications and deadlines.
• Troubleshoot basic print equipment issues and coordinate with technical support
for repairs if needed.
Inventory and Supply Management
• Maintain inventory of mailroom and print supplies (e.g., paper, ink, labels,
envelopes, etc.).
• Reorder supplies as necessary to prevent shortages or disruptions in operations.
• Organize and store materials in an efficient manner to optimize workflow.
Administrative and General Duties
• Assist with general administrative tasks, such as filing, data entry, and document
preparation.
• Provide support in the coordination of special mailing or print projects, ensuring
deadlines are met.
• Communicate with vendors and suppliers for purchasing and maintenance of mail
and print equipment.
Quality Control and Compliance
• Ensure all materials produced meet quality standards and company specifications.
• Adhere to safety protocols and best practices for handling equipment and
materials.
