We are looking for a reliable Project Administrator/ Office Assistant. They will undertake administrative tasks, ensuring the rest of the staff has adequate support to work efficiently. The tasks of the project administrator will include keeping track of all project documentation, and light office assistant duties. Such as ordering supplies, light cleaning, mail/ phone and front desk. The ideal candidate will be competent in prioritizing and working with little supervision. They will be self-motivated and trustworthy.
Responsibilities
- Manage subcontractor and vendor paperwork on projects. (Subcontracts/POs/ Change Orders/ Submittals/ Closeouts)
- Maintain job files
- help prepare paperwork for bids and RFQ/ RFPs
- Take bids
- Work with architects and clients to track paperwork on projects. (RFIs/ Contracts/ Insurance/ Permits/ Licenses/Submittals/PCOs/Logs/Closeouts)
- Manage Company Calendar
- Manage phone calls and correspondence (e-mail, letters, packages etc.)
- Track stocks of office supplies and place orders when necessary
- Assist colleagues whenever necessary
- Light office cleaning weekly. (Vacuum/ Trash/ one restroom)
Skills
- Experience as an office administrator, office assistant or relevant education
- Must be able to multitask and keep up with several tasks at once
- Outstanding communication and interpersonal abilities
- Excellent organizational skills
- Excellent knowledge of Word/ Excel/ Adobe and Outlook
- Qualifications in Construction a plus, but not required. We are willing to train the right applicant
- High school diploma
